eSign Program Overview
Electronic Signature, or eSign for short, has gone from a pilot project just a couple years ago to a standard service of eAYSO today. Among the most valuable benefits of eSign is it helps AYSO meet the goal of enhancing child safety by improving the ability to perform faster and more complete Volunteer background checks.
AYSO has taken a major step to reduce the work-load of Regional Registrars and CVPAs, eliminate storage of registration forms, and save volunteer time.

In the Fall of 2009, in conjunction with the Electronic Records and Signatures in Commerce Act of 2000,
AYSO successfully piloted the eSignature project in Region 6/D/418 (Chicago Lakefront). With the growth of eSign the National Board reviewed the program and chose to make some significant changes.
The acceptance of electronic signatures continues to eliminate the burden of providing long-term, secure, confidential storage of volunteer applications and player registration forms at the Region, Area and Section levels. eSign will also enable fast, efficient search and retrieval of signed registration forms in the event of legal or liability issues.
Although AYSO has an obligation to complete the following items, eSign facilitates all but the very first case:
- Verify the identity of the person represented on the application forms (including a player’s age) for all new/first time players and volunteers.
- Verify the parent/guardian/individual’s consent to participate in AYSO’s soccer program and acknowledgement of potential risks
- Verify a volunteer’s consent to reference and background checks
- Securely store the signed forms for several years in the event of liability concerns.
volunteers should still be directed to print a copy of their forms and present them to the Region for verification. Parents of players should print one form for use by the coach or for any other Regional activity during the Membership Year. Coaches are still required to have signed or eSigned copies of their Player Registration Forms, with the emergency contacts and treatment authorization, in their possession during all AYSO activities.
In an ongoing effort to alleviate Regions from storing hardcopy forms and expedite Safe Haven background checks, AYSO is happy to announce several enhancements to the eSign Program.
Effective April 9, 2012, eSign’s fee structure has been reduced from $1 per player and volunteer application to the following:
- Regions using eAYSO and eSign for players will only pay $0.25 per player application.
- Volunteer applications will be FREE for Regions using eAYSO and eSign.
- Note: third party Regions must use eAYSO to set up and maintain the information under Region >Setup
Currently, AYSO does not

Regions opting to enroll in the eSign program should complete the application below and submit at least 4 weeks prior to the first registration day and in time for Budget and Registration Fee planning.

The eSign feature will be enabled and an email will be sent to the Regional Commissioner, Treasurer, Registrar, CVPA and Area Director notifying all that the system is ready for the Region to open registration.
Once Regions receive confirmation from that the eSign feature is enabled, the Regional Commissioner or Registrar must proceed with updating the Regional Settings in eAYSO to enable player and volunteer registrations for the Membership Year/Program as described in the Registrar Manual and eAYSO Player Registration user guide.
